Key responsibilities for this Executive Assistant position:
- Expert complex diary management across multiple global time zones
- Scheduling internal and external meetings, preparing meeting rooms, printing materials and coordinating senior stakeholders
- Coordinating international travel, accommodation and visa arrangements
- Acting as a key liaison for visitors and senior colleagues from international offices
- Managing meeting rooms, hospitality and guest access in collaboration with Reception
- Providing full onboarding support for new joiners
- Supporting large‑scale client events, including scheduling, materials preparation and onsite coordination
- Monthly expense management using company systems (Concur essential)
- Providing broader administrative support to EA and operations colleagues
- Handling post, routine enquiries and confidential correspondence
- Supporting organisation of team social events and internal engagement initiatives
- Proven Executive Assistant experience within a fast‑paced professional services, asset management or corporate environment
- Confidence managing high‑volume diaries (10–15+ people), multi‑stop international travel and expenses (Concur experience essential)
- Highly proactive, decisive, adaptable and exceptionally organised
- Excellent communication skills and ability to prioritise under pressure
- Strong attention to detail and resilience within a demanding, dynamic environment
- Proficiency in Microsoft Outlook, Word, PowerPoint and ideally Concur
- A supportive, positive team player with a collaborative working style
