What would I be doing day to day?

Who am I supporting: Supporting the CEO and COO and wider office

Key duties:

  • Corporate filing, including incoming and outgoing invoices, legal documents and HR administrative documents.
  • Managing inventory of marketing materials, printed and digital; filing and display.
  • Organising team meetings, management of room bookings and office calendar.
  • Management of rooms inventory and appearance.
  • Management of guest flow schedule including clear communication with the team and building reception.
  • Assisting with client/guest meet and greet
  • Support Facilities & Corporate Service Manager
  • Organising of events, catering and managing staff lunches
  • Attending events if required
  • Issuing client and room booking invoices
  • Invoice payment run and filing of invoices

Background and experience:

  • Excellent communication skills; both verbal and written, high level of attention to detail
  • Exceptional personal presentation
  • Ability to work with and contribute to administrative processes, making recommendations for improvements
  • Confidence with all in-office-use IT packages, Microsoft Office programs and an ability and willingness to learn and adapt to new systems and software including those tailored specifically to meet the needs of the medical community
  • An ability to take initiative and work under pressure while keeping composure and able to multitask and prioritise in a busy environment balancing the competing needs of a multiple team members
  • Possess an 'all hands-on deck' attitude, understanding that as part of a new and young organisation, that a degree of flexibility may always be required
  • Strict attention to detail and uncompromising standards around confidentiality
  • An interest in the field of health and wellbeing
