Key Responsibilities for this Executive Assistant/Personal Assistant position
- Provide comprehensive executive and personal assistance to a senior leader, ensuring absolute discretion and professionalism.
- Manage an ever-changing diary with complex international schedules, travel planning, and meeting coordination across multiple time zones.
- Act as the liaison between the senior executive and global teams, ensuring smooth communication and prioritisation of business needs.
- Coordinate global travel arrangements, itineraries, and logistics with meticulous attention to detail.
- Plan and execute key meetings and events, including board sessions, investor meetings, and client events.
- Manage communications with CEOs, brokers, and external partners, demonstrating exceptional written and verbal polish.
- Oversee expense management and accurate record-keeping, ensuring compliance with internal processes.
- Collaborate with London-based EA teams to ensure consistent global coordination and support coverage.
- Manage personal diaries, travel, appointments, and household logistics for the executive and family.
- Oversee personal errands, lifestyle coordination, and occasional family-related projects.
- Provide support for household staff and domestic management as required.
- Degree-level education or equivalent professional qualification.
- Proven track record supporting C-suite or senior executives within financial or professional services.
- Experience in international, fast-paced business environments with a mix of business and personal assistance experience
- Fluent in Portuguese and English — both written and verbal.
- High levels of confidentiality, professionalism, and discretion.
- Polished, confident, and calm under pressure, with a natural ability to build trust at senior levels.
- Exceptionally organised and proactive, able to anticipate needs and manage competing priorities.
- Strong interpersonal and communication skills with a professional yet approachable manner.
- Flexible, dependable, and committed to delivering excellence every time.
- A true team player who enjoys working collaboratively while maintaining autonomy and accountability.
