Key responsibilities for this role:
- Providing high-quality administrative and operational support to a manager or group of managers
- Acting as a liaison with internal teams, external clients and vendors to resolve routine administrative matters
- Managing diaries, scheduling meetings, coordinating events, interviews and appointments
- Preparing, editing and distributing correspondence, agendas and meeting minutes
- Coordinating travel and accommodation arrangements when required
- Reviewing, processing and tracking incoming invoices
- Supporting accounting-related tasks, audits and reporting as required
- Reviewing and processing employee expenses with a strong attention to detail
- Preparing routine and ad hoc reports, including basic data gathering and analysis
- Maintaining accurate records, databases and filing systems
- Requisitioning office supplies and coordinating services such as printing and maintenance
- Operating standard office equipment and required software applications
- Providing a high level of internal and external customer service at all times
- Carrying out additional administrative duties as required
- Fluency in German and English, both written and spoken
- Executive Assistant experience, ideally within financial services, professional services or a corporate environment
- A commercial apprenticeship or comparable university degree (or equivalent combination of education and experience)
- Strong organisational skills with the ability to manage multiple tasks in a fast-paced environment
- Confidence working with data, reports, invoices and expenses
- Excellent communication skills and a professional, service-oriented approach
- Strong attention to detail and the ability to exercise sound judgement
- Comfortable working both independently and collaboratively within a team
