Key responsibilities for this Junior Professional position:
- Manage and coordinate Senior Leaders’ calendars, including complex diary management and project-specific scheduling, while anticipating schedule clashes and suitability across time zones
- Schedule external meetings and have overall responsibility for setting up and cleaning of meeting rooms, alongside video conferencing, catering preparation and hosting clients on arrival
- Prepare complex travel itineraries, including multi‑leg arrangements, visas and supporting documentation
- Provide Reception support by handling incoming calls, meeting visitors and managing the general office inbox
- Support with document production including printing, scanning, copying, binding and preparing presentation materials
- Coordinate deliveries and shipments with external suppliers
- Act as the first point of contact for clients and guests
- Assist senior administrative colleagues as required
- Organise weekly timesheets, expenses and other support administration such as credit card reconciliation
- Maintain contact databases and support budget management.
- Prioritise workload effectively to ensure smooth daily operations
- Contribute positively to the office culture and wider team initiatives
- 2–3 years’ experience in an administrative or office support role
- Strong interpersonal and communication skills, both written and verbal, with confidence in a client-facing environment
- Highly organised with excellent diary management skills, able to manage multiple priorities in a fast-paced setting
- Proactive and adaptable mindset, with the ability to anticipate the needs of senior team members/Managers
- Experience providing team support, with a collaborative and flexible approach
- Advanced IT skills, including Microsoft Office and/or Google Suite
- Proven experience coordinating complex travel arrangements, including visas
- Willingness to learn and develop, particularly under the guidance of a senior EA
- Comfort working in a fast-paced architectural or creative studio environment
- Previous experience in an architecture or engineering firm, or professional services
